Privacy Policy

LandlordIQ handles sensitive financial data — rent income, expense records, mortgage details, and tax documents. We take that responsibility seriously. This policy explains exactly what we collect, how we use it, and what control you have over it.

What We Collect

TL;DR — We collect your account details, your property and financial data, and anonymized usage analytics. We never collect more than we need to run the product.

Account data

When you create an account, we collect your name, email address, and password (stored as a bcrypt hash — never in plaintext). If you sign in via Google OAuth, we receive your name and email from Google.

Property and financial data

The core of LandlordIQ is your financial data. This includes:

  • Property details: address, purchase price, current estimated value, mortgage balance and monthly payment
  • Transaction records: rent income, maintenance expenses, insurance, property taxes, and all other income/expense entries you log
  • Lease data: tenant names, lease start/end dates, monthly rent amounts
  • Uploaded documents: receipt images, lease agreements, and other files you choose to attach to transactions

Usage analytics

We collect anonymized usage data (page views, feature usage, session duration) to understand how the product is used and to improve it. This data is not linked to your individual account.

Billing data

Payment is processed by Stripe. LandlordIQ never sees or stores your credit card number or banking details. We receive only a non-sensitive billing reference and your subscription status from Stripe.

How We Use Your Data

TL;DR — Your data is used to run LandlordIQ — to calculate your metrics, generate your reports, and keep your account working. We don't use it for advertising or sell it to anyone.

We use the data we collect to:

  • Provide the service: Calculate your financial metrics (cash flow, cap rate, cash-on-cash return, NOI, equity) from your transaction data in real time.
  • Generate reports: Produce your Schedule E-ready tax summaries and portfolio reports on demand.
  • Send lease alerts: Email you at 90, 60, and 30 days before a lease expires, using the dates you've entered.
  • Deliver transactional emails: Account confirmations, password resets, billing receipts, and subscription updates.
  • Improve the product: Analyze anonymized usage patterns to identify where users get stuck and what features to prioritize.
  • Provide customer support: If you contact us, we may access your account data to diagnose and resolve your issue.

We do not use your data to train AI models, show you third-party advertisements, or for any purpose not listed here.

Data Sharing

TL;DR — Your data is never sold. We share it only with the infrastructure providers that power LandlordIQ — Stripe for payments, AWS for storage, and Resend for transactional emails.

We do not sell, rent, or share your personal or financial data with third parties for marketing or advertising. We share data only as follows:

  • Stripe: Your email and subscription details are shared with Stripe to process payments and manage billing. Stripe's privacy policy governs their handling of this data.
  • AWS (Amazon Web Services): Your data is stored on AWS infrastructure in the United States. AWS processes data only as a service provider on our behalf.
  • Resend: We use Resend to send transactional emails. Your email address is shared with Resend for this purpose only.
  • Legal requirements: We may disclose data if required by law, court order, or to protect LandlordIQ's legal rights.

We require all service providers to maintain appropriate security standards and to use your data only as directed by us.

Data Storage & Security

TL;DR — All data is encrypted at rest (AES-256) and in transit (TLS 1.3). Uploaded files are stored in isolated S3 buckets with signed URLs. Your data lives exclusively on US servers.

We take the security of your financial data seriously. Here's how we protect it:

Encryption at rest

All database records are encrypted using AES-256. This includes your property data, transaction records, and all financial figures.

Encryption in transit

All data transmitted between your browser and LandlordIQ is encrypted using TLS 1.3. We enforce HTTPS on all endpoints.

File storage

Uploaded receipts and documents are stored in isolated AWS S3 buckets. Access is via signed URLs with a 15-minute expiry — files are never publicly accessible.

US-based servers

All data is stored and processed on servers located in the United States. We do not transfer personal data outside the US.

We retain your data for as long as your account is active. If you delete your account, your data is permanently deleted within 30 days.

Your Rights

TL;DR — You can access, export, or delete all your data at any time. Email us or use your account settings. We'll respond within 2 business days.

You have the following rights regarding your data:

  • Access: You can view all your data at any time within your LandlordIQ account dashboard.
  • Export: You can export your transaction data and reports as CSV or PDF at any time from your account settings.
  • Correction: You can update or correct any information in your account at any time.
  • Deletion: You can request deletion of your account and all associated data. We'll complete deletion within 30 days. We may retain limited data required by law or for fraud prevention.
  • Portability: You can request a complete export of all your data in a machine-readable format.

Cookies

TL;DR — We use only essential cookies to keep you logged in and maintain your session. No advertising cookies, no third-party tracking.

LandlordIQ uses a minimal set of cookies:

  • Session cookie: A secure, HTTP-only cookie that keeps you logged in during your session. Required for the product to function.
  • CSRF protection token: A cookie used to prevent cross-site request forgery attacks. Required for security.

We do not use advertising cookies, retargeting cookies, or any third-party tracking cookies. You can disable cookies in your browser settings, but this will prevent you from signing in.
